Understanding Workflow Triggers in Swyft AI

In Swyft AI's workflows product, triggers are actions that start a workflow. Triggers allow you to automate processes based on specific events in your sales process. Here are the three types of triggers you can use in Swyft AI and when to use them:

1. Meeting Saved Trigger

The Meeting Saved trigger happens when a user manually syncs data that Swyft AI has generated via the meeting form. This is an ideal trigger to use when you want a workflow to run after a user has reviewed the information generated by Swyft AI and manually synced it through the platform. It ensures that any workflow you set up will only happen after someone verifies and confirms the information.

  • Use case: When reps want to double-check the data before syncing it and running any workflows, such as updating deal details in the CRM or notifying team members of key insights.

2. Meeting Analyzed Trigger

The Meeting Analyzed trigger runs a workflow automatically, without needing a manual review. This trigger activates a few minutes after a meeting ends, making it ideal when you want to automate workflows as soon as Swyft AI processes the meeting data. It removes the need for the rep to manually approve or review the data before the workflow runs.

  • Use case: Automatically generating deal alerts or sending meeting insights right after a conversation without waiting for rep review. It’s perfect for automating routine actions that don't require a second look.

3. CRM Record Updated Trigger

The CRM Record Updated trigger fires when a record in your CRM system is updated. For example, if you want a workflow to start when the stage of a deal changes, you would use this trigger. It helps you automate workflows based on updates or changes in the CRM system, ensuring that processes like notifications, task assignments, or data entry happen automatically when CRM data is updated.

Summary

  • Meeting Saved: For workflows triggered after manual review and sync of meeting data.

  • Meeting Analyzed: For automatic workflows triggered after Swyft AI analyzes a meeting, with no manual review.

  • CRM Record Updated: For workflows triggered when a specific CRM record is updated.
