Using Teams in Swyft AI

Last updated: March 25, 2026

What Teams Are Used For

Teams in Swyft AI control which automations run for which users.

Every user must be assigned to a Team, and workflows are assigned to Teams so Swyft knows when a workflow should run for a specific user.

Think of Teams as the routing layer for automations:

  • Users belong to Teams

  • Workflows are assigned to Teams

  • Swyft runs workflows based on the user’s Team

If a workflow is assigned to the AE Team, it will only run for users on the AE Team.

How Teams Work (Simple Logic)

The logic is:

User → Assigned to Team → Team has Workflows → Those Workflows Run

So instead of assigning workflows to individual users, you assign them to Teams and manage automation at the Team level.

This makes automation easier to manage as your organization grows.

Best Practices for Creating Teams

Best practice is to create Teams based on:

  1. Function

  2. Segment

  3. Role in the customer lifecycle

Common Team Examples

By Function

  • SDR

  • AE

  • Sales Engineer

  • Customer Success

  • Account Management

  • Support

  • Implementation

By Segment

  • Enterprise

  • Mid-Market

  • SMB

  • Commercial

  • Strategic Accounts

Combined (Best Practice)
This is usually the best structure:

  • Enterprise AEs

  • Mid-Market AEs

  • SMB AEs

  • Enterprise CSMs

  • SMB CSMs

  • SDR Team

  • Support Team

This allows workflows to be very specific and accurate.

Why Teams Matter

Different teams:

  • Update different CRM fields

  • Trigger different workflows

  • Send different Slack messages

  • Create different records

  • Generate different notes

  • Track different metrics

Example:

  • SDR Team → Create Lead notes, qualification summary

  • AE Team → Update Opportunity fields, deal risk, next steps

  • CS Team → Update health score, expansion signals, renewal risk

  • Support Team → Create tickets, summarize issues

Without Teams, all automations would run for everyone, which creates bad data and noise.
