The Create CRM Record action allows you to automatically create a new record in your CRM (e.g., HubSpot, Salesforce) as part of a workflow. This ensures that important details surfaced in conversations, emails, or AI insights are consistently captured in structured CRM fields—without relying on manual data entry.


How It Works

When configuring this action, you will:

  • Select the Object Type — choose the type of CRM record to create (e.g., Deal, Contact, Lead, Company).

  • Associate a Parent Record — link the new record to an existing parent object (e.g., associate a new Deal with its Company).

  • Define Field Values — populate the new record with field values, which can be:

    • Static values (manually entered text, numbers, or dates).

    • Dynamic variables (captured from previous workflow steps, like AI-generated insights).

By default, Swyft automatically associates Opportunities/Deals, Leads, Contacts, and Accounts/Companies.
If the default method doesn’t fit your use case—or you need to locate a different object type to use as the parent record—use the Find Record action before this step.


Configuration

1. Select Object Type

Choose the type of record you want to create.

2. Associate Parent Record

Define which parent record the new record should be linked to. For example:

  • A Deal may be associated with a Company.

  • A Contact may be associated with an Account.

3. Field Values

Populate fields on the new record with:

  • Static inputs (manually defined values).

  • Dynamic variables pulled from previous actions.

This ensures that AI insights (like MEDDIC fields, metrics, or timeline mentions) flow directly into your CRM records.


Example Use Cases

  • Create a new Deal automatically when a prospect mentions a buying timeline.

  • Capture Objections or Competitor Mentions as new structured records.

  • Add a Contact record when an untracked attendee joins a call.

  • Generate and populate MEDDIC fields (e.g., Metrics, Economic Buyer) into new Opportunities.


Notes & Best Practices

  • AI Variables: To capture AI insights (like “Metrics” or “Close Date”), ensure you’ve added a Generate Insights action earlier in your workflow.

  • One-to-One Creation: This action creates one record per workflow run. If you need to create multiple records (e.g., one per product mentioned), use Split to List with a Loop action.

  • Field Mapping: Always verify your CRM schema to make sure the fields you populate match the record type.

  • Required Fields: Ensure you include all required fields and properties when configuring record creation, or your workflow may fail.
